Property buyers do not keep office hours. They see an ad on the way home, send a WhatsApp message at 11 PM, and by morning they have messaged three other builders. In most markets the team that replies first, with something genuinely useful, gets the first real conversation. That is why property enquiries on WhatsApp deserve a routine of their own.
This guide covers what a good first reply looks like, a routine your team can follow during the day, and which parts are worth automating so nothing waits until morning.
Why the first reply matters more than the perfect reply
A buyer who has just enquired is comparing options on the same phone, often in the same minute. A fast, helpful message keeps you in the comparison. A perfect message that arrives the next afternoon usually arrives to a buyer who has already moved on.
The first reply does not need to close anything. It only needs to answer the question that was asked and make the next step easy.
What a good first reply contains
- Greet the buyer by name and mention the project they asked about, so it is clear a person or a well-set-up assistant read their message.
- Answer the question they actually asked: the price range, the configuration, the location.
- Send the brochure and the location pin in the same breath, so they do not have to ask.
- Offer two site visit slots instead of asking when they are free. A choice is easier to answer than an open question.
- Ask one qualifying question, such as budget or timeline. One is a conversation; five is a form.
Answer the question, then offer the next step.
A reply routine for the working day
- Start the day with the list of chats that arrived overnight and are still unanswered.
- Answer anything that mentions a site visit or a budget first. These are the warmest.
- Set a follow-up date on every conversation before you leave it, even if the date is only tomorrow.
- Before you leave in the evening, clear the unanswered list so the overnight list starts small.
What to automate and what to keep human
Automation is good at the parts that are the same every time and bad at the parts that need judgment. A sensible split looks like this.
Worth automating
- The first reply outside office hours, in the buyer's language.
- Sending the brochure, photos and location pin.
- Simple qualifying questions with tap-to-answer buttons, such as purpose, budget range and timeline.
- Offering and booking a site visit slot.
Keep with a person
- Negotiation and anything about pricing exceptions.
- Objections and worries about a builder, a loan or a possession date.
- Any conversation where the buyer asks to speak to someone.
The goal is not to remove your sales team from the conversation. It is to make sure that when a person joins, the buyer is already qualified and the basics are already answered.
Record the answers, not just the chat
A long chat history is hard to use. What your team needs the next morning is the summary: budget, configuration, preferred location and timeline, written on the lead itself. When the agent calls, they should never ask something the buyer already told you.
A note on WhatsApp's rules
- You can reply freely within 24 hours of the buyer's last message. After that, you need an approved message template.
- Marketing messages need the buyer's consent. Replying to someone who messaged you first is not the same as sending a promotion to a list.
- Respect a buyer who says no. Mark them as not interested and stop.
